How to: Send an event invitation

The event invitation is typically the most important communication you send for your event. Here is a step-by-step guide to ensure your invitation is a complete success.

Step-by-step guide

Send an invitation with a personal event link to contacts

  1. Import event contacts: Before you can send an invitation, ensure your contacts are imported into Oniva. This can be done using the contact management function (see article on contacts).
  2. Create a campaign: Create a new campaign in Oniva to design and send your invitation. Make sure to select the contact group that should receive the invitation.
  3. Set up campaign: In the campaign setup, you can define the details of your invitation, such as the subject, body text, and email formatting. Ensure you include the personal event link in the invitation.
  4. Place a button and activate the personal event link: Place a button or clickable link in your invitation that directs recipients to the personal event website access. This link logs the contact into their booking session, and personal registration information in the registration form is pre-filled.
  5. Send campaign: Once your invitation is ready, you can either start the send immediately or schedule it for a later time. Click on "Schedule sending" or "Open sending" to send your invitation.
Tip: The personal event link
The personal event link is a handy feature that allows your guests to quickly and easily register for or access your event. When a contact is invited via this link, all imported personal information in the registration form is automatically pre-filled. Additionally, the personal event link takes already registered participants directly back to their booking. See article on the personal event link.
Tip: Preview the send
Before you finalise sending your invitation, a preview window will open showing the number of contacts per language who will receive the campaign. This allows you to verify the number of recipients before you send the invitation.

Subsequent sending

If you have already sent your invitation and new contacts have been added, you can resend the existing campaign to the new contacts using the "Open subsequent sending" function. Contacts who have already received the invitation will be automatically excluded. See article on How to: Trigger a subsequent sending to a single contact.

Refunds

Refunds are subject to a fee of CHF 2.50 per transaction in addition to the processing fee. Whether this fee will be borne by the guest or the organizer can be determined by you. The refund will then be processed for the full or partial amount. Ideally, you should specify this in your guest terms and conditions.
