Automatic Ddelivery of the calendar file

The calendar file is automatically sent with the booking confirmation as soon as guests register for an event on Oniva. It includes the event description and essential event details and is provided to guests as an attachment.

Content of the calendar file

The content of the calendar file is based on the event description defined under Event settings → Event information.

Important Notes:

  • The content of the file cannot be customised. It always displays the text of the event description.
  • If a guest books multiple booking options or a booking option with multiple dates, they will receive a single calendar file containing multiple appointments.
  • The dates of the appointments in the calendar file, as well as the location, are generated from the options configured within the event.

If you wish to provide additional information on the website that should not appear in the calendar file (e.g., booking details or supplementary information), you can add these under additional content.

The calendar file is not included in test emails. It is only attached to actual booking confirmations. To test the calendar file, we recommend booking your event yourself. The test booking can be canceled afterward.

Disabling the calendar file

If you do not wish to send a calendar file, you can disable this feature.

Steps to disable:

  1. Go to Edit → Authorisation groups → Registration and access settings.
  2. In the settings, select the option to disable the calendar file.

Post-sending changes

The calendar file is sent as an attachment, allowing guests to save a local copy to their calendar.

What to do if changes occur?

  • No automatic updates: Once sent, the content of the file cannot be modified.
  • Recommendation: If the time or another significant detail of your event changes, notify registered guests using Oniva's campaigns.

Refunds

Refunds are subject to a fee of CHF 2.50 per transaction in addition to the processing fee. Whether this fee will be borne by the guest or the organizer can be determined by you. The refund will then be processed for the full or partial amount. Ideally, you should specify this in your guest terms and conditions.
