Personal event link for guests

The Personal Event Link is a specific link assigned to each contact when they are created in the system. This link is used to authenticate and recognise the contact, especially in closed events where access is only possible through the personal event link.

Why do I need the personal event link in campaigns?

The personal event link enables sending personalised invitations to guests. When a guest uses their personal event link, the system recognises the contact and accesses their stored details. The registration form is pre-filled with this information, allowing the guest to make adjustments only if necessary. This automates the booking process, improves data quality, and provides a personalised experience.

If a contact has already registered for the event, the personal event link grants access to their existing booking. Participants can (if enabled) cancel their booking independently. The event link remains consistent throughout the event process, serving as an authentication method and eliminating the need for cumbersome logins.

When contacts are created, the personal event link is automatically generated and provided in the contact’s preferred language to ensure smooth communication. The link is displayed in a dedicated column under Contacts and can be viewed by clicking the three dots. Links can also be exported for sharing via other channels such as social media or newsletter tools.

Personal event link in all event communication

In campaigns, the personal event link can be embedded via an activated button and sent to contacts. This feature simplifies the registration process with a pre-filled form. If the guest is already registered, the link redirects them to their existing booking.

For virtual events, it is recommended to send the link shortly before the event as a reminder, allowing participants to join effortlessly.

When the personal event link is accessed for the first time, the contact’s status changes from "open" to "accessed." This change is recorded in the contact’s history, enabling event administrators to track guest activity.

  • How can I restrict an event to only personal invitations?
    By deactivating all access methods in the registration and access settings under authorisation groups. The event can then only be booked via the personal event link.
  • Where can I find a contact's personal event link in Oniva?
    A contact's personal event link can be viewed, copied, and/or exported under contacts.
  • What happens if my guests share their personal event link?
    Guests have the option to register for the event via their personal event link on the event website. If the personal event link is shared with others, there is a risk that third parties may access the booking information. To avoid this, it is recommended to explicitly advise guests not to share their personal event link with others and to ensure that it is treated confidentially.
  • When and how do guests receive their personal event link?

Refunds

Refunds are subject to a fee of CHF 2.50 per transaction in addition to the processing fee. Whether this fee will be borne by the guest or the organizer can be determined by you. The refund will then be processed for the full or partial amount. Ideally, you should specify this in your guest terms and conditions.
