A privacy policy in accordance with the General Data Protection Regulation (GDPR) must cover various points to meet requirements and make users transparent about how their data is processed. Here are the essential points that a privacy policy for your event registration should include.

1. Introduction and data controller

  • Name and contact details of the data controller
  • Optionally, contact details of the data protection officer
  • Purposes and legal bases for data processing

2. Clear statement of purposes for processing personal data

  • Mention of the respective legal bases (e.g., consent, contract fulfillment, legal obligation, legitimate interest).

3. Types and categories of data

  • Description of the personal data collected and processed (e.g., name, address, email)

4. Recipient of data

  • Information on to whom the data will be disclosed to third parties (including processors)

5. Transfer to third countries

  • Indication whether data will be transferred to countries outside the EU/EEA and what protective measures (e.g., standard contractual clauses) will be taken.

6. Storage duration

  • Statement of the criteria for determining the storage period or specific storage periods.

7. Rights of data subjects

  • Right to information
  • Right to rectification
  • Right to erasure (right to be forgotten)
  • Right to restriction of processing
  • Right to data portability
  • Right to object to processing
  • Right to revoke consent at any time

8. Right to lodge a complaint

  • Information about the right to lodge a complaint with a supervisory authority.

9. Automated decision-making and profiling

  • If applicable, indication whether automated decision-making including profiling takes place and essential information about the logic and scope of such processes.

10. Cookies and tracking technologies

  • Description of the cookies and other tracking technologies used, including the possibility of deactivation.

11. Changes to the privacy policy

  • Notice that the privacy policy will be adjusted as needed and how users will be informed of changes.

  • If specific services or features require additional information, these should also be described in detail.

These points are intended to ensure that the processing of personal data during event registration is transparent and lawful and that data subjects understand and can exercise their rights.

 

Adding your own privacy policy for event registration in Oniva

To add your own privacy policy in Oniva for your event registration, follow these steps:

  1. Go to Settings.
  2. In the Attachments section, select "Add attachment."
  3. Upload your privacy policy.
  4. Check the box "Consent from guests required."
  5. Save your changes.

By capturing the privacy policy at the workspace level, you ensure that the privacy policy you have uploaded is activated for all events. Alternatively, a different privacy policy can be placed in the authorization group at the event level.

Refunds

Refunds are subject to a fee of CHF 2.50 per transaction in addition to the processing fee. Whether this fee will be borne by the guest or the organizer can be determined by you. The refund will then be processed for the full or partial amount. Ideally, you should specify this in your guest terms and conditions.
